You can't control when a homeowner's roof starts leaking or when a hailstorm rolls through. You can control how quickly your company responds when they reach out.
What to measure
- Time from web form submission to first contact attempt.
- Time from first attempt to first real conversation.
- Percentage of inquiries contacted within your own target window.
- Response times during business hours vs. evenings and weekends.
Set your own benchmark
Rather than relying on generic industry figures, establish your own baseline. Measure for four to six weeks, then compare close rates for leads contacted quickly versus those contacted later. Your own data is the most credible evidence for whether faster response matters in your market.
Common obstacles
Response time usually suffers for understandable reasons: the office manager is also handling scheduling and billing, the owner is on a roof, or the team is overwhelmed after a storm. Identifying which obstacle applies tells you which solution is worth considering.
